HAPI Coaching Service Terms, Cancellations & Refunds
1. Service Terms (for clients)
What HAPI offers
· 1-to-1 life coaching & strategy navigation (in person, face to face, in Crowthorne, Berkshire)
· Relationship coaching & strategy navigation (individuals and couples)
· HAPI Circles (group sessions)
· Corporate services (workshops and programmes for organisations)
· Book and resource sales
How bookings work
1. You contact us via the website, phone or email.
2. We arrange a free discovery call / conversation — no obligation.
3. If we both agree coaching is right for you, we confirm start dates, session times, fees and, where relevant, a simple coaching agreement.
4. You’re only committed once you’ve confirmed your sessions and, where applicable, paid or returned a signed agreement.
Sessions
· Sessions are predominantly delivered in person ([confirm venue — Bucklers Park Hub, Crowthorne]).
· Session durations and timings are agreed at booking.
· Coaching is a professional relationship between equals: you are always in control of what you choose to share and explore.
Fees (current, as published on the website)
· 1-to-1: £90–£125 per session depending on time of day
· Relationship: £125–£165 per session depending on time of day
· HAPI Circles: £45 per session
· Corporate: quoted per programme
· [Book price: £…]
Fees are reviewed periodically; we’ll confirm the applicable fee before you book.
Payment
· Due [at time of booking / on or before each session — confirm].
· We accept [bank transfer / card — confirm].
· Late or missed payments: [confirm — e.g. sessions may be paused until payment is received].
Your commitment
· Please give us [48 hours’] notice if you need to rearrange or cancel a session.
· Regular attendance is what makes coaching work; if sessions are missed [without notice, the session is payable in full] — [confirm this matches your real practice].
Confidentiality
· Coaching conversations are confidential, within the limits explained at the start of working together: we always put your safety first, we comply with the law, and we may discuss anonymised professional matters in supervision (standard ethical practice).
· [Confirm your confidentiality statement wording and supervision practice.]
Recording
· We don’t record sessions without your explicit agreement. [Confirm.]
Ending the relationship
· Either party can end the coaching relationship at any time, with reasonable notice ([confirm — e.g. 48 hours’ notice or at a session boundary]).
· We’ll always offer a proper closing conversation where possible.
2. Right to cancel (online bookings — Consumer Contracts Regulations 2013)
If you book a service online (via the website), UK consumer law gives you a 14-day cancellation period, which starts when the booking is confirmed. You can cancel within those 14 days without giving a reason.
Exception that applies to coaching: if you ask us to start the service before the 14 days are up, and you confirm in writing (or on a durable medium) that you want the service to begin and that you accept losing your cancellation right, then once the service starts, the cancellation right is lost for the sessions already delivered. We will make this clear in the booking confirmation and ask you to tick a box confirming you understand.
What this means in practice:
· A simple enquiry or discovery call doesn’t trigger any obligation.
· Once you’ve booked and paid a block online, you can cancel within 14 days for a full refund unless you’ve agreed (as above) to start immediately.
· [Confirm: whether you intend to use the “start early” consent box for online bookings — recommended.]
3. Refund policy
Situation
What happens
We cancel a session (e.g. illness, emergency)
You’re offered a full refund or a free rearranged session — your choice
You cancel with required notice ([48 hours])
Full refund or credit towards another session — your choice
You cancel with less than required notice
[Session fee is charged / partially refunded — confirm your real policy]
You don’t turn up
[Session fee is charged — confirm]
You’re unhappy with the service and raise it within [say, 7 days]
We’ll discuss it openly and work to resolve it fairly — see complaints
Book / digital products purchased online
Standard 14-day distance selling right applies to unused digital products; if the product is delivered as an instant download or you begin using it, the cancellation right is lost. [Confirm policy on digital book purchases]
Refunds are processed [within 14 days / as soon as possible] to the original payment method. [Confirm.]
4. Complaints procedure
We aim to resolve anything that’s not right, quickly and fairly. Here’s how:
1. Talk to us first. Raise the issue with Dom directly — by phone (+44 7534 319667) or email (dom@hapime.co.uk). We’ll acknowledge within [2 working days] and respond properly within [10 working days].
2. If you’d like a formal step, we’ll document the complaint and your preferred outcome, and agree a fair resolution or, where relevant, a goodwill remedy.
3. Professional body. As an accredited member of [EMCC UK] and [ANLP], we follow their codes of ethics. If you don’t feel an issue is resolved with us, you may take it to the relevant professional body (we’ll give you their contact details on request).
4. Data concerns. For anything about your personal data, see our Privacy Policy — you can always complain to the ICO (www.ico.org.uk).
5. Suitability & safety
· Coaching supports people who are fundamentally well but stuck in unhelpful patterns; it is not a substitute for medical or therapeutic treatment where that’s needed. See our Disclaimer & Safety.
· If at any point we believe you’re at serious risk of harm (to yourself or others), our duty of care means we’ll support you to get the right help — including signposting you to urgent services. This is a rare situation, but it takes priority over confidentiality.
· We operate for adults [confirm age policy: clients must be 18+].
6. Changes to these terms
We may update these terms from time to time; the version on this page at the time of your booking applies.
